How A-1 Cleaning Service Runs on Microsoft Teams, SharePoint and AI

How A-1 Cleaning Service runs on Microsoft Teams, SharePoint and AI: an AI receptionist answered 683 customer calls in year one, 60% after hours. HumWebit AI consulting case study, Humboldt County

Case study · AI consulting in Humboldt County

A-1 Cleaning Service is a commercial and residential cleaning company in Humboldt County, California, with around 40 employees across eight service divisions. It’s also where HumWebit’s owner, William Hardwick, has built and tested business systems since 1995. Everything we recommend to clients, we’ve run here first.

The company has one rule that drives all of it: “We don’t run A-1 by quirky personalities, we run it by systems.”

Before

The systems weren’t always good. They started with Palm Pilots. The earliest office records still around are Word, Excel and Publisher files from the early 2000s, including a customer complaint database built in Microsoft Works. In 2003 the company put SharePoint on its own server, which was early for a local cleaning company.

From 2015 to 2023, staff communication ran through Yammer. Over the years, files ended up spread across the server, SharePoint and individual staff drives. Nothing was lost on purpose. It’s just what happens when a business grows faster than its filing system. Most owners we talk to will recognize it.

How it runs now

In August 2023, A-1 moved its communication to Microsoft Teams. Each division has its own team with two channels: one for the crew and one for issues. Customer issues posted in the issues channel are set up to turn into tasks automatically through Power Automate, so a problem doesn’t depend on someone remembering to write it down.

Day-to-day processes live inside Teams too:

  • A key check-out log channel
  • Sick calls and time off through the Shifts app
  • Time corrections and mileage through Microsoft Forms
  • Janitorial quality inspections posted to a channel
  • Policy updates posted by HR

Jobs and scheduling run in Housecall Pro, and the janitorial division uses its own timekeeping system. Hiring is automated too: HR workflows move a hired applicant into the employee records, so onboarding follows the same steps every time.

AI at work

An AI phone receptionist. Since late 2025, an AI receptionist inside Housecall Pro has answered A-1’s phone. In its first year it handled 683 real customer calls, not counting spam, silent and vendor calls, and scheduled about 100 estimates and jobs. 60% of those calls came in after 5pm or on weekends, when the office was closed. That’s where the value is: customers reach someone instead of voicemail.

It wasn’t plug-and-play. Early on it booked a service A-1 doesn’t offer. Its voice and personality had to be adjusted after customer feedback. Both got fixed because a person was paying attention. That’s the honest lesson: AI needs a human owner who keeps training it.

Claude as an operations assistant. Claude, Anthropic’s AI, handles a set of recurring jobs:

  • Scheduled checks on employee time punches
  • A Monday-morning operations report built from Housecall Pro data
  • A daily review of website and social media alerts
  • Search ranking monitoring
  • The numbers for the monthly management meeting

It also completed a full audit of the company’s SharePoint and Teams setup.

Copilot agents, in progress. A-1 has built Microsoft Copilot Studio agents, including a bookkeeping assistant and a company-procedures assistant. They’re being rolled out now, not finished.

What changed

We only report what we’ve measured. Right now that’s the receptionist: 683 real customer calls answered and about 100 estimates and jobs scheduled in its first year, most of them outside office hours. Those are calls that would have gone to voicemail. As the newer tools settle in, we’ll measure them the same way and update this page.

Built to run without the owner

The point of all this is a company that doesn’t depend on any one person, including the owner. A few ways A-1 builds that in:

  • Access by role, not by person. Permissions go to role groups, so when people change jobs or leave, no workflow has to be rebuilt.
  • Written job descriptions kept in the HR site, plus a business continuity team.
  • Documentation in four levels. In 2026 A-1 began organizing its documentation as a company manual, division playbooks, task cards and records, modeled on ISO 9001. That work is underway.
